Information for Presenters

Instructions for oral presentations

All oral presenters must check in at the Speaker Ready Room:

The room will be equipped with rehearsal stations for computer workstations for PowerPoint / Prezi / PDF presenters. Any presenter who has not pre-submitted his/her presentation must bring it, on a USB drive, at least half day prior to the presentation to have it uploaded onto the server. To avoid waiting in the Speaker Ready Room, you may wish to avoid peak times.

It will not be possible to load your presentation during the session. If your graphics or video clips are not embedded in you presentation, please be sure that you bring them as well. Please set name of presentation with your name and date/time/symposium as follows: 22 September 08:30 Smith Symposium A.1.1 (abstract id can be optional), not just the name of the congress.
This will prevent any confusion when loading the presentation on the main computer.

POWERPOINT / Prezi / PDF

Oral Session Presenters will use PowerPoint, Prezi or PDF presentations. All presentations will be loaded on a server (in the Speaker Ready Room) and distributed to the appropriate oral session at the appropriate time. This eliminates the need for individual presenters to bring their own laptops. Preparing Your Media for Onsite Presentation Submission:

  • Save your files to a CD-ROM,  USB Storage Device.
  • If you create a CD, make sure that you close or “finalize” your session. If you omit this step, you cannot access the CD from any other computer.
  • When building your presentation, make sure that you include any external files utilized in the same folder as your presentation (i.e., movie files).
  • When creating your media for transportation, copy the entire folder to the disk.
  • Remember to make a back-up copy of your files and transport it in a separate piece of luggage.

Fonts: We only supply fonts that are included with Office 2013. If you need a specialized font, it should be embedded into your PowerPoint presentation. For instructions on this process, please click on the following link:http://support.microsoft.com/kb/826832/en-us

Pictures:

  • JPG images are the preferred file format for inserted images.
  • Images inserted into PowerPoint are embedded into the presentation. Images that are created at a setting higher than 75 dpi are not necessary and will only increase the size of your presentation.
  • Try to avoid overloading your presentation with unnecessary images.

It will not be possible to deliver your presentations an hour before speech to the Speaker Room.
